Receptionist / Secretary

Sawiris Foundation for Social Development is seeking a receptionist

REPORTS TO: HR & Admin Manager



  • Responsible for the reception area; answering and screening all phone calls and taking messages;

  • Reviewing & editing all contacts and entering any new contacts on regular basis;

  • Logging all office correspondence including, faxes and letters, SFSD Info email, and routing them to all staff members.

  • Responsible for maintaining the central physical filing and keeping them up to date;

  • Managing daily maintenance problems, coordinating with the assigned company to solve other problems and conducting monthly back-ups;

  • Booking tickets and hotel reservations for staff field visits and the Foundation’s guests;

  • Handling office purchases’ requests as per quotes approved by the Administration/HR Manager;

  • Monitoring and updating stationary/buffet stock.

  • Composing and typing English/Arabic correspondence/memos;

  • Assisting all foundation staff in the arrangements required for team meetings, events and board meetings;

  • Arranging appointments and managing the time schedule of the team meetings and car schedule;

  • Monitoring Employees attendance & providing a monthly report for attendance records and annual leaves balance.

  • Ensuring that any outgoing mail is sent on time and keeping track of all outgoing correspondence, while keeping copies of all courier vouchers.

  • Supervise supportive staff and organize their schedule according to office needs. 

  • Any other tasks assigned to him/her.



  • Supervised by Admin & HR Specialist.
  • Reports to the HR & Admin Manager.
  • Contact with all departments conducting needs.
  • Direct contact with potential/current service providers.

SKILLS: Problem solving, Communication skills, stress management, time management.

EDUCATION: Bachelor degree in related field preferred.

WORK EXPERIENCE: A minimum of 0-2 years work experience in administration.

COMPUTER SKILLS: Advanced computer skills, with professional use of Microsoft Office and troubleshooting. Basic proficiency in spreadsheets and presentation is preferable

LANGUAGES: Native-speaker proficiency in spoken and written Arabic and English. Basic proficiency in translation of documents from Arabic to English and vice versa
